Managing Stamp Cards¶
Once a stamp card is enabled on a service, stamps take care of themselves. This guide covers how stamps are earned and expire, what your customers see in LINE, and the admin tools on each customer record.
Navigation Path:
Customer record → Stamp Cards tab
1. How Stamps Are Earned¶
- Automatic: One stamp per completed booking of that service, with the branch recorded.
- Never double-stamped: The same booking can't produce two stamps, even if its status is changed back and forth.
- Full-card protection: No extra stamps once the card is complete.
- Automatic reversal: If a completed booking is cancelled or marked no-show, its stamp is removed automatically. If the card had already been redeemed, it's flagged for review instead of being silently clawed back.
2. The Stamp Cards Tab on a Customer¶
Every customer record has a Stamp Cards tab listing all their cards with status chips — In Progress, Ready to Redeem, Redeemed, Expired. Each card offers:
- Add Stamp: Add a stamp manually with an optional reason — e.g. a walk-in visit that wasn't booked. (Disabled when the card is full — redeem first.)
- Redeem: Available once the card is complete. The Redeem Stamp Card dialog issues the reward as a 1-use service package; the confirmation shows the reward service, package ID and expiry.
- History: Every stamp with when it was earned and by which route, including manual additions.
3. Expiry Handling¶
Two independent levels, both optional (configured per service — see Stamp Card Setup):
- Card expiry: The whole card lapses on a date.
- Stamp expiry: Each stamp has its own life; older stamps drop off while newer ones stay.
Expiry runs automatically in the background every hour, and the customer receives a LINE message when a stamp expires. The card display shows active stamps (⭐), expired stamps (⚫) and empty slots (⚪), plus the next stamp expiry date — so nobody is surprised.
4. What the Customer Sees¶
- A LINE card after every visit — star-by-star progress, service name, expiry date, and a button into their card list.
- Colour-coded moments — blue for a stamp earned, green for "Reward Unlocked", amber for a correction, red for an expired stamp.
- My Stamp Cards in LINE — all active cards, with Past Cards and Stamp History below.
- Card detail — every stamp, when it was earned, at which branch, and when it expires.
- Redeem Now on a completed card — the free session lands under their packages, ready to book.
5. Marketing Automation¶
Stamp activity can trigger automated LINE campaigns:
- Stamp earned — e.g. "You're 3 visits away from a free treatment"
- Card completed — e.g. "Your free session is waiting — book it now"
Each with configurable delays and your own message content.
