Running the Program Day to Day

Once configured, most point earning happens automatically. This guide covers the admin console tools your team uses daily: the dashboard, member management, scan-to-earn approvals, walk-in purchases and manual adjustments.

The loyalty app is organized in tabs — Dashboard, Members, Tiers, Rewards, Scan Approval, Claims, Transactions, Settings — with three quick-action buttons in the header: Record Purchase, Adjust Points and Earn QR.


1. The Dashboard

Live KPIs for the whole program, updating as points are earned and rewards redeemed:

  • Total members, and newly joined in the last 30 days
  • Members with program consent and marketing consent
  • Total points issued vs redeemed, and the earn-to-redeem ratio
  • Average days from joining to first redemption
  • Tier distribution across your member base

2. Members

The Members tab lists every loyalty member — search and see points, tier and activity at a glance. The Edit Tier action on each row opens the manual tier override (see Membership Tiers).


3. Scan-to-Earn: QR Codes and Approvals

The counter workflow for walk-in customers, end to end:

Generate the QR — click Earn QR in the header to open the Generate Earn QR Code dialog. Print it for the counter or Copy LIFF Link. Each code is cryptographically signed and bound to your LINE channel, and expires automatically (7 days by default) — a screenshot passed around later simply won't work. Generate a New Code anytime.

The customer scans it — inside LINE, they scan the code, enter what they paid, and see Awaiting Staff Approval.

You approve it — the request appears in Scan ApprovalPending Earn Requests (the tab shows a badge with the pending count, and a live alert pops up the moment a scan arrives):

  1. Review the row: customer, scanned time, QR reference and reported amount.
  2. Click Approve — the Approve Points Earn dialog lets you correct the Purchase Amount (THB) before clicking Approve & Award.
  3. Or click Reject, with a Reason for Rejection.

Points land instantly and the customer gets a LINE message.


4. Record a Walk-in Purchase

For in-store sales without a scan, click Record Purchase (also available as Record In-Store Purchase on the customer's Loyalty tab):

  1. Pick the Contact and enter the Amount Paid.
  2. The Points Preview shows exactly what will be awarded and why.
  3. Optionally add a Service type, Receipt reference and Note.
  4. Click Award to grant the points.

5. Adjust Points Manually

Click Adjust Points for goodwill gestures, complaint recovery or corrections:

  • Choose Add Points or Deduct Points and the amount.
  • A Reason is required — every adjustment lands in the audit trail.

6. Transactions

The Transactions tab holds the full Transaction History — every point movement with its source and reason. On a customer's own Loyalty tab, Recent Transactions can be filtered by type, source and rule state, with a running balance per row.


7. Loyalty Where You Talk to Customers

  • Contact record: every customer has a Loyalty tab — tier card, next reward opportunity, Admin Actions (Record In-Store Purchase, Adjust Points, Edit Tier) and their transaction history.
  • Chat sidebar: while chatting in the Inbox, the Loyalty section shows the customer's points, lifetime earned, period spend and visits, and progress to the next tier — so agents see who they're talking to.

8. Built-in Protections

These run automatically in the background:

  • Automatic reversal: If a completed booking is later cancelled or marked no-show, the points it earned are clawed back automatically.
  • No double points, ever: Every award is protected against retries, double-clicks and repeated webhook deliveries.
  • Daily, manual and offline caps as configured in Settings — see Program Setup.
  • Full audit trail: Every transaction records the source, the staff member, the reason, and which earning rules applied.
