Setting Up the Loyalty Program

This guide walks you through configuring the loyalty program for your shop: how customers join, what your points are called, how they are earned, and when they expire.

1. Turn the Program On

At the bottom of the Settings tab, the Program Status card holds the master switch — Loyalty Program Enabled. Everything else can be configured first and switched on when you're ready.


2. Choose How Customers Join

In the Join Form & Consent card, one switch decides the enrolment mode:

  • Switch off — automatic: A loyalty account is created automatically the first time a customer earns points. Nothing to sign, fastest adoption.
  • Switch on — consent required: Customers must tap Join and accept your terms before earning or redeeming loyalty benefits.

Note

Consent only gates the loyalty benefits. Customers can still book and purchase normally either way — only points and rewards wait for consent.


3. Customize the Join Form

If you require consent, configure the join form customers see in LINE:

  • Join Form Title: Your program's name as the customer sees it.
  • Consent Text: Shown as the required consent checkbox.
  • Consent Version: Increment this whenever the consent wording changes — every agreement is recorded against the version the customer actually saw.
  • Terms URL and Privacy Policy URL: Links to your policies.
  • Require phone / Require email: Make these fields mandatory at sign-up.
  • Show marketing opt-in: A separate checkbox — program consent and marketing consent are kept apart.

4. Member IDs

In the Member ID Settings card, every member gets a clean, human-readable ID (for example SPA-K7M4-92XB), designed to avoid confusable characters.

  • Member ID Prefix: 2–5 uppercase letters that match your brand (e.g. FOX, SPA) — a live Preview shows the result.
  • Generate for Existing Customers: Back-fill IDs for your current customer base in one click.

5. Name Your Points

In the Display card, set Points name (shown to customers) — "Fox Points", "Stars", "Coins", anything you like. The name appears everywhere customers see their balance.


6. Set the Earning Rules

In the Earning Rules card, choose how points are earned:

  • Per Amount Spent: e.g. 1 point for every ฿100 — set Points per spend and Per amount (฿).
  • Per Visit: a flat Points per visit for every completed booking, regardless of value.
  • Both (Per Spend + Per Visit): spend-based points plus the flat visit bonus.
  • Welcome bonus (first enrollment): Award points the moment someone joins.

Tier multipliers (e.g. Gold members earn 2×) are configured per tier — see Membership Tiers.


7. Where Points Come From

Once the rules are set, points arrive automatically from every channel you sell through:

Completed bookings Awarded the moment staff mark the appointment complete
Online payments Payments through the built-in checkout award points automatically on confirmation
Online store orders WooCommerce orders sync in and earn points automatically
Walk-in purchases Staff record the amount with Record Purchase — see Daily Operations
Scan-to-earn QR The customer scans your counter QR in LINE; staff approve it in Scan Approval
Manual award Staff add points by hand with Adjust Points, with a reason
Your POS or ERP Other systems can award or deduct points through the FoxConnect API

8. Points Expiry

In the Points Expiry card:

  • Enable points expiry: On or off per shop.
  • Expire after: Lifetime of points in days (FIFO — the oldest points are always spent and expired first).
  • Warning notification before: Customers get a LINE message this many days before points expire — a natural reason to come back and spend them.

Expiry runs automatically every night. Expired points appear in the customer's history and lifetime stats.


9. Automatic LINE Messages

In the LINE Notifications card, each automated message can be switched on or off individually:

  • Points Earned — new points and balance summary
  • Tier Upgraded — celebration and benefits summary
  • Reward Redeemed — redemption confirmation and voucher code
  • Manual Adjustments — points added or deducted by staff
  • Points Expiring — warning before and after points expire

10. Safety Limits

Loyalty points are money, so the Limits & Fraud Prevention card puts sensible caps on everything:

  • Max points per day (per customer): Blocks runaway or abusive earning.
  • Max manual adjust (per transaction): Caps how many points a single staff action can add.
  • Max offline purchase amount (฿): Caps the value staff can key in for a walk-in sale.

Amounts are always calculated by the system — never taken from the customer's device — and every award is protected against double-clicks and retries, so double points can't happen.


Summary Checklist

  • Enrolment mode chosen (automatic or consent required).
  • Join form text, consent version, terms and privacy links set.
  • Member ID prefix set; existing customers back-filled.
  • Points name chosen.
  • Earning rules and welcome bonus configured.
  • Points expiry and warning days set.
  • LINE notifications reviewed.
  • Safety caps reviewed.
  • Loyalty Program Enabled switched on.
